Scheduling settings

Enabling the allocation feature:

Perform it via maintainer’s account in Admin zone -> Global settings ->tab Scheduling -> Enable allocating deadlines.  Here, select the checkboxes for “Requests” and “Regular tasks”. If you want to have an option to send the confirmation e-mail to customers in the allocation window, select the “Confirmation of deadlines to customers” checkbox. If you use this feature when allocating some event, customer will receive an e-mail with link, demanding the confirmation of scheduled term (e.g. business meeting, periodical device/equipment revision etc.).

Setting the operator for scheduling purposes

In this article you will get familiar with setting necessary for performing the calendar scheduling activity. More information about the operators and groups can be found in article CDESK Account types.

Operator – responsibility for scheduling, groups, groups of customers, color

Only the operator responsible for scheduling has an access to the Advanced scheduling. This setting (with responsibility for groups of customers) can be enabled by maintainer in Admin zone -> Users -> Operators and Groups -> choose operator -> tab General settings -> section CM display settings -> Responsible for scheduling.

Color for distinction of operator in the calendar, overviews is displaying the specific color next to the each operator in calendar events and left, advanced navigation menu.

By Responsibility for group of customers you can choose limitation for this operator to see only the events which are in the areas of his responsibility. Option Include areas into a CDESK filter means that you will see the checkboxes for each area in the filter. Unmarking them causes the events from these areas hidden.

Responsible for scheduling option allows the operator to access into the Advanced scheduling – he becomes the Scheduler.

Show preferably the subordinates in the lists of solvers option puts the subordinate operators to the top of the list in left calendar menu.

To confirm changes, press the “Save” button.

Responsibility for groups

Responsibility for groups in settings of operator – Scheduler determines, who is in charge of requests created on this group and is able to assign them to specific operators.

New group can be created in Admin zone -> Users -> Operators and Groups clicking on the “Add group” button.

Next page offers you to fill the desired data about the group. Continue to “Assigned operators“ tab.

Note: to let the operators and customer’s accounts choose this group as a solver during the entering and editing of requests and periodical tasks, mark the “Solver of CDESK requests” option as it is displayed on following picture.

In the Assigned operators tab, mark all operators belonging into this group. In the Responsibility for group column, mark the operators who can manipulate and plan the activities for this group in Advanced scheduling.

In the last tab – Permissions choose the privileges of the group for specific customers (each in particular row) in CDESK part. Select all activities which can be performed with the requests and periodical tasks by group members. New group must be saved before manipulating with Permissions tab.


Setting the Subordinates

Subordinate operators can be assigned via maintainer's account under selected (Superior) operator in Admin zone -> users -> Operators and Groups -> Chosen operator -> tab Superiors and Subordinates. In subordinate operators click on the “+” button, mark the desired operators and click the “Add selected” button.

Confirm by clicking the “Save” button.
